Privacy Policy

This Privacy Policy explains how SELF TECHNOLOGIES PTE. LTD. (“SELF”, “we”, “us”) collects, uses, and protects information when you use the SELF tools application (the “Service”) — an internal web application used by SELF staff and youth workers to prepare proposals, session plans, reports, booklets, schedules, activity boards, and invoicing.
The Service is provided for authorised members of SELF and its partner schools. It is not a consumer product and accounts are created by SELF administrators, not by public sign-up.
1. Information we collect
- Account information — your name and email address, used to sign you in and identify your activity. Authentication is handled by Supabase Auth; we do not store your password.
- Organisational data you enter — schools and contacts, session schedules, session plans, reports, booklets, activity-board updates, invoicing details, and similar work content.
- Uploaded media — photos and videos you add to activity boards.
- Optional messaging link — if you connect Telegram for schedule reminders, we store the chat identifier needed to message you.
- Basic usage logs — technical records (such as timestamps and actions taken) used to operate and secure the Service.
2. How we use information
We use the information solely to operate the Service — namely to:
- authenticate users and enforce role-based access;
- generate and store the documents, schedules, and invoices you create;
- send schedule reminders you have opted into; and
- maintain the security, integrity, and reliability of the Service.
We do not sell your information or use it for advertising.
3. Google API services
The Service can write invoice rows into a Google Sheet that SELF owns, using the Google Sheets API through a SELF-controlled service account. The Service accesses only that designated spreadsheet in order to record invoicing data you generate. It does not read your personal Google account data.
SELF’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
4. Service providers
We rely on a small set of processors that host or power the Service on our behalf, under their own security and privacy commitments:
- Vercel — application hosting;
- Supabase — authentication, database, and media storage;
- Modal — background/AI processing for document generation;
- Google — Google Sheets for invoicing; and
- Telegram — optional schedule-reminder delivery.
5. Data retention
We keep information for as long as your account is active and as needed to provide the Service and meet SELF’s operational and legal obligations. On request, we will delete or de-identify data where we are not required to retain it.
6. Security
Access is restricted to authenticated users, with elevated permissions held only by administrators. Data is transmitted over encrypted connections and stored with our service providers’ security controls. No system is perfectly secure, but we take reasonable measures to protect your information.
7. Content about young people
Work content may reference young people SELF serves. Such content is entered by authorised staff for legitimate youth-work purposes, is visible only to authorised users, and is handled in line with SELF’s safeguarding commitments. Young people do not create accounts on the Service.
8. Your rights
You may request access to, correction of, or deletion of your personal information by contacting us. We will respond in accordance with applicable law, including Singapore’s Personal Data Protection Act (PDPA).
9. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by the “Last updated” date above.
